Specialized Accounting & Tax is an experienced accounting and tax firm dedicated to managing the financial and tax complexities of businesses and individuals in industries such as hospitality, marinas, restaurants, and service-based ventures.
 
Role Description

This is a full-time remote role for a Tax Specialist. As a Tax Specialist, you will be responsible for preparing accurate, complete, and review-ready tax work for a portfolio of individual and business clients. You will support the full tax workflow, from client intake and source-document tracking through return preparation, internal review, client delivery, and filing administration, while also assisting with tax strategy deliverables, quarterly advisory preparation, accounting support, and routine client communication.

This role is ideal for a detail-oriented tax professional who enjoys ownership of their work, can follow established systems and procedures, and is committed to producing high-quality deliverables. You will work closely with management and other team members to convert technical direction into organized, client-ready work and to ensure that assigned tasks are completed accurately, on time, and in accordance with firm standards.

This position is a long-term remote role with a full-time schedule. The role must be your first priority in terms of work/employment. You will be unable to work full-time elsewhere and satisfactorily complete the duties required of this position (i.e., it is not a side hustle).

This role demands availability that aligns with our team’s operational needs, including essential meetings, collaborative projects, client interactions, and time-sensitive tax deadlines during business hours. Our work environment values flexibility but also requires adaptability, timely communication, and active engagement. Fixed availability periods cannot be accommodated in this position.

Responsibilities

Assist a growing portfolio of clients in managing their tax and accounting needs, including, but not limited to:

  • Prepare assigned federal and state income tax returns for individuals, partnerships, S corporations, C corporations, and exempt organizations. Manage the full return-preparation workflow, including client intake, organizer progression, source-document review and tracking, data entry in Drake Tax, supporting workpapers, fixed-asset and depreciation schedules, return review videos, reviewer-note resolution, client delivery, signature requests, e-file readiness, filing, acceptance tracking, and workflow closeout.
  • Maintain complete, accurate, and organized tax files by reconciling return inputs to accounting records, financial statements, prior-year information, and supporting documentation. Identify missing information, material discrepancies, technical flags, and non-routine matters; document findings clearly and escalate matters requiring management review or professional judgment.
  • Support Initial Tax Strategy Consultations by extracting and organizing relevant information from tax returns, financial statements, entity documents, ownership records, operating agreements, and client notes. Prepare tax maps, implementation guides, client to-do lists, walkthrough materials, and sales packages using approved templates, systems, file structures, and management direction.
  • Assist with quarterly advisory and accounting support by updating planning profiles, preparing current financial and planning information, identifying unresolved accounting items, documenting meeting follow-up, and completing assigned accounting tasks such as transaction classification, account reconciliations, revenue recognition, approved accruals and adjusting entries, and maintenance of supporting schedules.
  • Serve as a professional operational point of contact for routine client matters, including organizer questions, document uploads, portal access, signature requests, document status, scheduling, workflow updates, and approved follow-up items. Acknowledge client portal messages, emails, and phone inquiries within the firm’s 48-business-hour response expectation, and escalate technical questions, tax notices, material accounting uncertainty, client concerns, and matters outside approved guidance to management.
  • Complete client setup and maintain accurate records in Double and other approved systems, including client contacts, organizers, folders, electronic file structures, document uploads, deadlines, signature requests, workflow statuses, work performed, outstanding requests, technical flags, review feedback, and client communications.
  • Follow approved templates, standard operating procedures, software procedures, quality-control processes, and data-security practices. Participate in continuous improvement by identifying recurring workflow or communication issues, documenting recommendations, and adapting to updated systems and procedures.
  • Perform other duties as assigned.
 
Qualifications
  • Experience preparing individual and business tax returns, including familiarity with Form 1040, Schedule C, Schedule E, Form 1065, Form 1120-S, and Form 1120.
  • Working knowledge of tax return workpapers, source-document organization, depreciation and fixed asset schedules, reconciliations, journal entries, accruals, and supporting schedules.
  • Understanding of common entity structures and flow-through tax concepts, including sole proprietorships, disregarded LLCs, partnerships, S corporations, C corporations, and individual owner reporting.
  • Ability to prepare accurate, organized, and complete work that is ready for management review without requiring the reviewer to reconstruct files or chase routine missing steps.
  • Strong attention to detail, organization, prioritization, and deadline-management skills.
  • Excellent written and verbal communication skills, including the ability to communicate professionally and clearly with clients and team members.
  • Ability to follow technical direction, use sound judgment within established procedures, and escalate issues appropriately.
  • Proficiency with accounting and tax technology; experience with Drake Tax, Tax Planner Pro, Double, client portals, Microsoft 365, and similar systems is preferred.
  • Experience in hospitality, restaurants, marinas, real estate, or other service-based industries is a plus.
  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field, or equivalent relevant tax and accounting experience, preferred.

 

Requirements
  • High degree of customer service, attention to detail, and ability to manage multiple tasks. Excellent written and verbal communication skills.
  • Must be able to problem-solve. Learning new programs and resolving workflow, technology, and client-service issues is imperative.
  • Proficient with technology and comfortable using tax preparation software, accounting software, client portals, document-management systems, spreadsheets, and Microsoft 365.
  • Must have, or be willing to obtain, a dedicated and secure internet connection. Public or open Wi-Fi networks may not be used for firm or client work.
  • Must have a quiet, clean, and visually professional workspace appropriate for video calls, internal meetings, and client conversations.
  • Strong customer service skills – the ability to interact with clients through video, audio, phone, and written communication in a manner that is professional, friendly, timely, and reassuring.
  • Ability to work in a fast-paced environment with minimal supervision while maintaining accuracy, confidentiality, and compliance with firm procedures.
  • Must be located in the United States or Canada.
  • Willingness to travel to semi-annual in-person team retreats (supervisors and full-time employees only). Locations for in-person team meetings will vary.

  • Receipt-capture and expense-management software
  • Copilot, approved AI tools, and standardized templates used within established firm procedures
  • Prior remote-work experience.

The Perks, Performance, and Pay
  • The starting hourly wage for this role is $22 per hour (eligible for an increase after successful completion of 90-day probationary period).
  • This position will expand to 30-35 hours per week after training/probationary period (6-7 hours per day).
  • You will be expected to work primarily between 9:00 am and 5:00 pm CT and must generally be available during business hours on a week-to-week basis.
